The Importance Of Time And Attendance Systems In Companies

by Madge Lindsay

Time and attendance systems are very important in the way a particular organization operates. There are many benefits of using this particular system in the operations of the company. It can also be seen that efficiency of the firm is enhanced through the utilization of such computer system.

The hours spent by the workers in the company on a particular day are very important since they have a bearing on its productivity. This information has to be recorded and log sheets were traditionally used by many companies for this purpose. However, a specially designed computer system has replaced the manual filing system of information related to employee attendance to work.

This system is very effective given that it promotes employee accountability in the company. Whilst some people can log in wrong information through the traditional method, it can be noted that this may not be possible through the use of a computer system meant for this purpose. Employees are forced to report for duty early as they may risk losing money since it can be deducted from their wages on the basis of the hours they have worked.

Bad practices such as absenteeism are stamped out given that some people in a large company may not even come to work but their colleagues can log in their details on the log sheet and this may be difficult to verify. This may lead to loses in the company where it may be paying people who are not productive. The company may also fail to fully account for its operations if there is no transparency in recording employee activities at work.

The main advantage of this system is that each person in the company is given a security code that can be used to access the database of the company. The system also records the actual time and it is very accurate unlike traditional methods used in other firms. It is not possible to perform certain tricks on this system which is advantageous to the company.

It can also be seen that accuracy with regards to calculation of the total number of hours spent by each employee at work is promoted. A computer system can perform this particular task automatically. The advantage is that employees whose wages are calculated on an hourly basis get what they deserve and this minimizes loses in a company where it may pay workers who are not meaningfully contributing to its productivity.

It is easy to store information in a computer database than on a hard file since this can easily be destroyed. Computers can store large quantities of information and in a single database. It can also be observed that such kind of information can easily be accessed compared to the manual file system.

The aspect of promoting a clean environment in the work place is also very important and this can be enhanced by the use of computers in offices. Papers may cause dust in the long run and this can affect the health of the people. The use of computers also makes it possible to maintain order in the office since all information can be stored on a single gadget unlike the use of files.

Employees in an organization are expected to work for a specific number of hours and this information has to be recorded. This can contribute to the productivity of the company if all employees seriously consider their duties. During the current period, it can be noted that time and attendance systems have significantly contributed towards the efficiency of the company in performing certain tasks.
